Multidisciplinary Operations Coordinator (Medical/Technical)
In charge of providing operational support and assistance in collaboration
with our team in different offices which includes but is not limited to the
services procurements, logistics, and administration, including fleet and
facilities management, travel and lodging arrangements
Prepare all necessary administrative forms for project related items, such as
travel, Purchase Orders Request forms, etc.
Check the good working of offices items and verifying that the inventory is
regularly updated on a regular basis;
Work on the development of all administrative and secretarial operations
related contractual agreements with contractor and subcontractors, and
other services agreements in Tunisia and outside of it;
Provide regular updates of Operations to HR, and Finance staff
Support the Operations and Finance Director and general Manager in
managing recruiting process
Organize logistical and administrative support for conferences, seminars,
workshops, and training events, which includes tasks and subtasks related
to travel, meals, translation services, and document distribution;
Maintain a proper files, checking the project’s internal control system to
ensure that the policies and procedures are being adhered to;
Review all records for accuracy and legitimacy;
Arrange pickup/drop off, hotels, phone issuance, and other logistic support
for home office and short term travelers;
Tracking IT needs in the offices
Assist with auditing project files on sites;
Verify and ensure all supportive documentation of all payments before
approval by the Finance Manager and the Chief of Party;
Help to ensure compliance with lease/service contracts and agreement
covenants before issuing payment(s);
Responsible for maintaining accounting records and files of Program
administrative financial documents with appropriate supporting material.
Update records as necessary. Keep all financial and sensitive information
pertaining to the Program confidential;
Prepare letters, correspondence, requisitions and other forms of documents
of consequence to be signed by the Operations and Finance Director;
Other duties as assigned by the Office Manager or concerned Party.
