    * Log updated all incoming and outgoing documents. ;
    * Responsible to handle documents of all projects with decency for easy retrieve.
    * Distribute all incoming and outgoing documents as per distribution matrix assigned by Project Managers.
    * Scan all Documents, Drawings and Correspondence for electronic archiving.
    * Maintain all hard copies of project related correspondence.
    * Maintain a separate borrower's log for equipment and Manuals.
    * Maintain project files including forwarding and retrieving correspondence upon
    Request of the staff, as applicable with the permission of project Manager.
    * Ensure all project related documents are tracked and accounted at all times,
    * Supervision and Control of Printing Facilities. ;
    * Controlling all personal mails and maintain log for incoming & outgoing mails.
    * Support Project Team during Design Submission and during Tender Documentation.

    JOB RESPONSIBILITIES:

    * Administrating the Electronic Document Management System (DMS) for the project. Input document control set-up into DMS.
    * Provide support to all users and grant user access and permissions on DMS.
    * Maintaining user accounts in DMS & defining security privileges (Preparer, Checker, Approver, etc.) to the user group. Controlling, Monitoring and Modifying Project DMS System as required.
    * DMS account management, diagnosing system problems and resolution via Technical helpdesks.
    * Upload and distribute documents to respective discipline in accordance with the document distribution matrix through workflow.
    * Ensuring that superseded versions of documents are removed from distribution, kept under control and relevant versions of documents are available at DMS.
    * Maintaining the master document register of the latest drawings on a project and ensuring that all recipients are transmitted the drawings they require as soon as new revisions of drawings are issued. ;
    * Preparing transmittal for documents viz., Procedures, Specifications, Requisitions, Shop Drawings, Schedules, etc., arranging submission to client, copy to concerned department, hard copy to office file, updating Master Data Base, tracking submission.
    * Distribution/routing of incoming documents & approved Technical submittals in ICDB (Internal
    * Correspondence Database) in IBM Lotus Notes & arranging response to client if required.
    * Co-ordination with the discipline engineers for receipt of outstanding documents and follow-up for resubmission of non-approved (CODE-B & CODE-C) documents.
    * Monitoring due dates for review and expedite over-due documents.
    * Interfacing with all disciplines to ensure that the requirement of the documents and drawings for the project are properly handled and their outstanding issues are resolved in timely manner.
    * Day-to-day update of Deliverables List, Submittal Register, Vendor Document Register, drawings register, etc.
    * Preparation of Document Status reports periodically for management information for meetings and follow-ups. Issuing project level document control report to client.
    * Providing input for Weekly Progress Report, Monthly Progress Report, Monthly Project Manager's
    * Report & Monthly Progress Invoice. ;
    * Maintaining electronic/soft copies (Native files) & hard copies of complete Engineering documents, maintaining their traceability for smooth work flow. ;
    * Ensure that all documents and drawings received or created are properly controlled and maintained within master records in the Project Server. ;
    * Attending project documentation audit by Internal Auditor & client representative.
