    My work involves a wide range of administrative duties linked with the day to day organisation of a busy MD. This includes extensive and complicated diary and email management, the booking of overseas travel, including business visas when necessary. I organise the company's yearly AGM which includes selection of the venue and in depth admin organisation including a small award ceremony, a social event in the evening, overnight accommodation, taxis, etc. I negotiated preferential rates with a local hotel to ensure our sales force have a ``pied-à-terre'' when they come to the office.

    I was involved in the relocation of the business in November 2012 and was the first point of contact for solicitors and estate agents. A tight timescale had been put in place to ensure the move had taken place before our busiest quarter and I was responsible for ensuring the timetable in MS Project was adhered to.

    I am currently involved in the closure of our Paris Office and recently travelled to Paris to ensure the lay-off of the last employee. I have daily liaison with our French Accountant to ensure the company is made dormant and all accounts filed and up to date.

    I am also responsible for keeping all HR filing up to date and compliant with ISO management standards. In addition, I manage our receptionist and work closely with our Head of Payroll for all issues relating to new starters, sickness recording, etc.

    My role involved the effective management of both senior managers' diaries, including the setting up of meetings, room bookings, organisation of audio and video conferences. I was responsible for the handling of all complaints linked to the financing of Peugeot and Citroen cars, keeping up to date spreadsheets, tracking responses through to resolution within timescales set by the FSA. I produced all purchase orders linked to marketing, processed invoices and maintained the budget spreadsheets ensuring they were within the agreed overall yearly budget. I regularly liaised with Head Office in Paris and subsidiaries all over the world. I undertook project work linked to insurance services, researching comparative data amongst competitors.

    I developed the SE Regional Programme Office to deliver GBP 1m worth of regional savings between the police forces of Surrey, Sussex, Hampshire, Thames Valley and Kent. From 1 October 2010, I was responsible for the smooth running of the joint Surrey Sussex team which looks at opportunities for joint working for efficiency savings and improved operational capability.

    One of my responsibilities was to develop consultation documentation and reorganisation programmes to deliver collaborative business objectives and successfully manage all office functions in supporting subject experts and business leaders. I managed complicated processes and deliver significant output to very tight deadlines. My duties involved setting up and administering regular board meetings, ensuring the attendance of senior officers (chief constables, deputies and assistant chiefs) and senior stakeholders within the police service either face to face or via video or teleconferencing as well as the preparation of agendas, timely and accurate minutes, action logs or other records of meetings as required. This role also required effective communication with Senior Government Officials, Ministers and their executives.
  • Sussex Police HQ - Executive Assistant

    2000 - 2010 I have worked as an Executive Assistant for a succession of Chief Officers, the most senior ranking officers in the police service, including the Chief Constable from October 2008 until February 2010.

    The core responsibilities of this role included the coordination of Chief Officers' demanding schedules, the planning of meetings and phone calls, the fielding of phone calls as needed and resolving meeting conflicts and prioritizing issues. Whilst working for the Chief Constable, one of my priorities was to ensure the right balance between operational commitments and social engagements as well as carrying out administrative duties of a highly responsible and confidential nature.

    I took on the additional responsibility of organising the bi-yearly Long Service and Good Conduct Ceremonies for officers and members of staff having completed 20 years' service and Special Constables. This involved the creation of lists using the SAP system and Excel, liaising with the Home Office for the production of Royal Mint medals and coordinating VIPs' diaries such as Lord Lieutenants and High Sheriffs to ensure their attendance at the ceremony. As Executive Assistant to the Chief Constable, I was expected to set professional standards and provided advice and guidance to junior staff within the organisation in relation to administrative and secretarial support.

    1997 - 2000 Environmental Management Company taken over by PWC and relocated to London Bridge PWC Offices.

    The core duties of this role included providing administrative and secretarial support to the Director and other senior members of the team as well as producing and updating financial spreadsheets for accountancy purposes every quarter and distributing financial information as appropriate to my counterpart in our Paris Office. I was given the additional responsibility of implementing and maintaining a system to track time spent on chargeable and non-chargeable activities by employees using Excel. I translated documents from French into English and vice versa as required.

    1992 - 1997 I worked specifically for the Europe Officer facilitating his activities in relation to preparation of financial bids to the European Union, liaising with MEPs and European institutions and other foreign contacts. I helped administering and organising conferences and seminars aimed at West Sussex companies interested in exporting to Europe. I deputised for the Chief Executive's PA.
