  • Cummins North Africa Regional Office - Office Manager

    maintenant - In charge of the company’s office in terms of providing the needed services such as transportation, catering, events, stationery, kitchen supplies… Also in charge of liaising with the landlord regarding the facilities that are included in the leasing agreement: maintenance, security, cleaning services, parking lots, utilities…
    - Preparing the invoices and the excel sheet and forward it to the finance department.
    - In charge of the petty cash.
    - Being the office Manager, the HSE is an important part of my responsibilities: preparing the HSE policy and procedure, implementing it, training of the staff, periodic checking of the HSE equipment in the office, overall risk assessment.
    - Dealing with the services providers/ suppliers.
    - Discuss the quotations, prepare the Recommendation Reports, prepare and discuss the Agreements, finalizing the contracts.

  • Arabtec - Senior Property Manager

    DUBAI 2013 - maintenant - To plan and deliver a quality Property and Facilities Management to WTC the Offices, Abu Dhabi, and Arabtec portfolio.
    - To manage the company’s portfolio and to dispose of any surplus.
    - To have full day to day responsibility for leasing and managing the residential properties of the company.

    Financial
    1. Assist the GM for setting and managing the yearly budget for WTC the Offices.
    2. Ensure that all rents and late fees are charged, collected and deposited in a timely manner.
    3. Assist the GM with any necessary legal action, documents and process in relation to Head Landlord/Subtenant breaches.
    4. Ensure that invoices are submitted to the corporate office for payment, handle petty cash and all funds.
    Operational/Property Management & Maintenance
    5. Work with the GM to establish an appropriate Property & Facilities Management strategy and operational framework for the property.
    6. Assist the GM in closing the DLP items with the main Landlord.
    7. Manage WTC the Offices on a daily basis for an efficient delivery of property services provided by in-house and external contractors.
    8. Set the Facilities Management SLA’s & KPI’s for WTC the Offices; and follow up with the FM to ensure appropriate levels are met for business operation, staff and tenants’ safety and comfort.
    9. Establishment and implement all property management related processes and procedures for WTC the Offices: occupation, security, car parking, visitors handling systems, tenants fit-out.
    10. Establish an appropriate lease management system to ensure timely invoicing of tenants and track lease events (renewals, break options, rent reviews etc.)
    11. Undertake regular inspections to maintain building appearance and ensure repairs are noted and completed on timely basis.
    12. Ensure floors are ready for Handover to incoming Tenants and full access and egress is assured.
    Leasing
    13. Support the GM to ensure WTC the Offices is sublet in line with company targets: perform leasing viewings to potential tenants, address all their questions, prepare and submit Heads of Terms (HoT), periodic follow up until signature of (HoT).
    Administrative
    14. Ensure all Lease Agreements and operations paperwork are complete and properly stored both electronic and hard copy.
    HSE
    15. Assist the GM in establishing an emergency response strategy for the building.
    16. Assist the GM to ensure proper response and handling of all WTC the Offices emergencies with Authorities, staff and tenants.
    17. Induct all Fire wardens for WTC the Offices.
    18. Organize and supervise fire drills.
    19. Ensure that unsafe conditions are corrected urgently and logged appropriately.
    20. Ensure up to date knowledge and implementation of all relevant company and authority regulations.
    Tenant Relations
    21. Develop a rapport with WTC the Offices tenants and users to ensure first response principles are maximized and disruptions minimized.
    22. Attend periodic meetings with the tenants to address their concerns and requests on timely basis to ensure their satisfaction.
    23. Implement policies of the building as set out in Tenant Handbook and Fit Out Guide and suggest improvements and amendments whenever necessary to ensure the seamless operation of the building.
    Staff Management
    24. Define and document the job responsibilities and work flow processes for each subordinate staff member.
    25. Ensure efficiency of direct reports through ongoing training, instruction, counselling and leadership.
    26. Ensure all administrative processes involving personnel are handled on a timely basis (i.e. performance appraisals, salary reviews, time sheets, change of status forms, etc.).
