AREAS OF STRENGTH

Document Management
Responsible for Document Control Procedure, Numbering Procedure & Distribution Matrix incorporated with Client / project Requirements. Ensuring Document Control function is being performed in accordance with corporate procedure and project requirements.
Fully responsible for internal and external customer Document Management Activities. Weekly & Monthly reports to higher Managements.
Planning, Supervision, direction and training of work activities to Document Control Team members and Supporting Staff’s.
Implementing latest document Management software EDM and used (ISO 9001) – Petrocept, Documentum, ECM, JPI (Jacobs Project Information System – Lotus Note), Alfresco, Incite, Extranet, SharePoint & FTP Server Prodom.
Assisting the Site Staff during Engineering / vendor documents mobilization, to ensure the satisfactory administration of Project Documentation & Records and monitoring the pending documents.

Operations Management
Preparing reports & other statements with a view to apprise Project Manager related to the drawings / documents regarding the approval for facilitating critical decision-making process.
Ensuring the dispatch and distribution of the Engineering / vendor documents and RFI Register, Incoming & Outgoing Document Register and circulate the updates to team members and submitting weekly status reports to the Project Manager & Team members.
Maintaining the completeness of the electronic database of engineering drawings, documents and other related engineering information.

Relationship Management
Providing various reports for Project Management, Site Personnel and Sub-Contractors.
Ensuring speedy resolution of vendor queries & grievances to maximise satisfaction levels.
Coordinating with the Client, Engineering Contractors, Joint Venture Partners, Subcontractors & Project Management Team and other Internal Departments for Documentation related issues
Secretarial Operations:
Assisting the top management in areas involving personal and confidential matters, management and administration with full initiative and minimum supervision.
Preparing confidential reports, correspondences, minutes of meeting & monitoring deadlines/follow-ups and working closely with the departments to achieve a harmonious working environment, greater operational efficiency and facilitate effective communication

    Ensures that pre-established requirements (e.g., which document numbering system will be used; how many and which signatures will be required for certain approvals, etc.) are satisfactorily met throughout the duration of the project.

    Maintains an established data distribution system and schedule for the assigned project based upon client, project, and supplier requirements. May revise system or schedule as required to ensure timely approvals and distribution.

    Expedites review, signature approval, and release of supplier and internally produced project documents.

    Establishes and maintains files and computerized indexes for active engineering documents. Generates electronic/hardcopy reports as needed by the project or management.

    Assists in preparing a “mock up” for operations manuals (e.g., develops the index, binders, dividers, etc., and ensures timely printing and assembly) and/or job data books (pulls drawings and documents, develops index, cover sheet, dividers, etc., ensures timely reproduction and assembly).

    Prepares transmittals for engineering documents and requisitions

    Arranges document cataloguing, packing, and long-term storage or disposal of appropriate engineering documents at time of project closeout.

    Establishing and maintaining a record of controlled documents on distribution

    May monitor space requirements for project personnel to allow sufficient lead time for personnel placement as staffing requirements increase or decrease. May coordinate moves, placements of desks/files, telephone, etc
